Responsibilities
In general:

• Manage the location mechanical department / external maintenance providers and ensure their duties are being completed, as scheduled and on time.
• Ensure that work is prioritised to make sure that operations can run and are not stopped by failures in location fleet.

Fleet:
• 100% log book check at end of month + additional 100% log book check during month.
• Create plan and action all damage and fault reports for all location vehicles + mech.
• Complete monthly fuel tracking and provide report to Fleet Manager / Ops manager.
• Ensure all scheduled maintenance and repairs indicated on the monthly servicing plan is completed and recorded.
• Contribute to vehicle monthly deployment plans made by Fleet Manager and Operations Manager.
• Manage the vehicle tracking system to identify the current location of each vehicle.
• Manage the vehicle re-fuel schedule to ensure all vehicles are fuelled as needed and accurate records are kept (all vehicles have fuel filled on last working day of month / admin day)
• Ensure compliance with all Syria vehicle regulations, including vehicle inspections, registration, Insurance, license plates, etc.
• Request to PM insurance and other permits renewals at least 2 months in advance prior to expiration.
• Ensure all vehicles are carrying complete toolkits, first aid and self-help equipment (MiK, MTK, spare tyres, etc.)
• Ensure all drivers have valid driver’s licences and have completed a HALO driver induction, with all records kept on file.

Stores:
• Ensure vehicle and mech spares stores are managed accurately, work with the Head Mechanic/Fleet Manager to order spares at the appropriate time.
• Ensure that storeman receives, issues, and record all fleet store items correctly.
• Conduct monthly store check on fleet spare parts store and fuel and lubricant store.

Other:
• Carry out any other duties as directed to meet project standards and operational requirements.


Qualifications
- The Fleet Officer should have a valid Syrian driver’s license and should have passed the HALO Syria driver assessment.
- The person must have a knowledge of Microsoft Office and be proficient in Excel.
- They should have 3-4 years’ experience in an office setting, preferably in a position that handled logistics, ordering, budgeting, or record keeping.
- He/She should have some knowledge of vehicles, mech and spare parts.
- Previous management experience is a plus.
- Advanced spoken and written English is a plus.
