Responsibilities
Objective 1: Coordinate the production and submission of timely donor reports (40%)

• Coordinate timely and quality reporting for all grants under the direction of the Grants & Partnerships Coordinator

• Maintain an up-to-date reporting schedule and ensure information sharing with all relevant staff within the mission, so reports are adequately anticipated

• Prepare reporting formats and timelines in line with donor requirements

• Support field teams with any clarifications needed on donor reporting requirements (including visibility and communications)

• Accurate review, editing and compilation of draft reporting products completed by program Coordinators/Managers according to donor requirements, ahead of validation

• Coordinate the preparation of miscellaneous reports or information requested by donors during the project cycle.

Objective 2: Provide administrative support to grant management and donor compliance (20%)

• Provide support to all departments regarding donor compliance.

• Compile compliance guidance (from donor or HQ) as required.

• Develop donor compliance summary sheets.

• Ensure that all visibility requirements for each grant are met promptly and accurately documented.

• Support the kick-off and close-out meetings of all grants.

• Facilitate meetings (opening remarks, moderating discussions, ensure timekeeping).

Objective 3: Proposal Development and Amendments (20%)

• Ensure grant documents and records are archived and updated on internal document sharing and archiving platforms

• Support field teams in reporting on donor visibility requirements

• Develop donor compliance summary sheets as required

• Assist with the submission of reporting on donor platforms as required

• Support the Grants and Partnerships Coordinator with any additional (ad hoc) products as required.

Objective 4: Information Management (20%)

• Archiving: ensure documents and records are archived, classified, and updated in real-time on ACF internal systems.

• Grants Tracking: ensure all information related to existing and potential grants is up to date.

Qualifications
-Bachelor’s degree, preferably in political science, humanitarian action, or any other relevant field (communications, social science, science, law etc.)
-Minimum 2 years working experience in similar grants, programme development / coordination with INGOs.
-Previous experience working in context of humanitarian assistance.
-Working experience with donors, or donor-funded projects (UN and/or bilateral donors).
-Strong written communication skills.
-Strong inter-personal and organisational skills.
-Solid technical knowledge of donor compliance rules and regulations.
-Meticulous attention to detail.
-Demonstrated analytical and problem-solving skills.
-Demonstrated capacity in planning and organizing, with ability to work to strict deadlines.
-Fluent English (written and spoken) – Impeccable English drafting skills & Fluent Arabic (written and spoken).
