Responsibilities
- Provide administrative support across logistics units while assisting in corporate event planning, document management, and translation from English to Arabic and vice-versa.
- Monitor staff attendance for mandatory training, oversee security requirements, and manage leave and overtime balance tracking and flag the delays and problematic cases to Logistics management.
- Coordinate leave and travel planning tools for Logistics staff, plan and schedules official meeting agendas for logistics staff, visitors, and delegation colleagues.
- Organizes and attends Logistics meetings as required by Logistics management, and drafts/finalizes corresponding meeting minutes.
- Prepare and monitor Logistics situation reports (sitreps), maintain all of the country’s Logistics database, manage stationary inventory, and support the onboarding of new logistics staff.
- Act as the IT and Information focal point for the logistics department and maintain department libraries, track system access rights, maintain Logistics department’s external contacts list and update critical contact communication trees.
- Handle supplier database registration and related documentation, while acting as reference point for Dun & Bradstreet business credit report company and escalating internally in case of suspicious circumstances.
- Monitor procurement KPIs, process milestones (tendering, framing agreements, and assessments), and compile analytical trend data.
