Responsibilities
The Procurement Assistant provides procurement support for the ZOA Programme in Damascus in line with logistical, financial and administrative processes, helping to ensure the timely and cost effective implementation of the programme.

1.Assist in looking for new providers of goods and services to offer a better service to projects. Additionally, supports the process of contracting services and consultancies.
2.Assist in sending purchasing requests to trustable vendors and evaluates the proposals in coordination with Logistics & Procurement Officer.
3.Assists in the preparation of bids analysis, purchase requisitions, quotations and ensures the completion of ZOA forms and their corresponding signatures.
4.Preparation of monthly reports for the Logistics & Procurement Officer, including commitments funds, requisitions, purchase orders.
5.Monthly update of the open purchase requisitions status.
6.Support in the tender process and assist with the effective organization of Procurement Packs (PRs, RFQs, QAMs, minutes of tender meetings, and Agreements) as well as supplier evaluation, filing and archiving on the SharePoint.
7.Follow up suppliers’ payments.
8.Update procurement tracker records regularly, according to the received purchase orders and the released payments.
9.Ensure that all payments and transactions are registered timely.
10.Keep track of vendors bills and coordinate payment to vendors.
11.Pursues a right level of segregation of duties
12.Any other tasks requested by the line manager.


Qualifications
•Associate's degree (institute) or bachelor's degree in Business Administration, preferably in Economics or Supply Chain Management, or a related university degree.
•Minimum working experience of at least 2 years in procurement, or 2-3 years’ experience in a similar role, preferably in an INGO.
•Very good spoken and written command of English language.
•Excellent spoken and written command of Arabic language.
•Computer literate with good working knowledge of Microsoft Excel, Word and Outlook.
•Experience with donor requirements and compliance is a plus.
•Previous UNSSAFE, HEAT or other similar personal safety awareness training preferred

Specific Vacancy Requirements
Regular travel to the field offices for meetings with ZOA team there.
Regular travel to the field may be required to liaise with contractors and/or suppliers and assist with distributions.

Duration of Position: 6 months renewable subject to performance and funding, (first three months are probation period).
