Responsibilities
The Logistics Management Team Leader is responsible for overseeing and coordinating all logistics operations, including managing assets, warehouses, facilities rents, and insurance, as well as leading the logistics team. This role plays a critical role in ensuring that AKF's logistics operations are running smoothly and effectively to meet AKF and donors' demands and meet the work objectives. The incumbent will report directly to the Operations Coordinator.
ROLES AND RESPONSIBILITIES:
Asset Management:
- Develop and implement comprehensive asset management strategies, including tracking, maintenance, disposal and replacement procedures, to optimize asset utilization and ensure best values and minimize costs.
- Maintain accurate records and evaluation of all assets, including their location, condition, and status.
- Conduct regular inventory checks and reconcile discrepancies.
- Develop and implement asset management policies and procedures including receiving, delivering, lending, request for new assets, maintenance, depreciation, disposal, damage, loss, theft and replacement of assets.
- Consider donors’ requirements, standards and regulations related to assets management.
- Maintain and archive assets handover/disposal minutes.
- Ensure that a comprehensive coding system is in place and that all assets are coded and tracked.
- Provide reports and analysis, and ensure donor reports for assets are timely completed and submitted to the Finance/Program and other departments as appropriate.
Warehouse Management:
- Oversee the operation of warehouses, ensuring efficient storage and handling of goods including tracking and distribution of transit and centralized stocks.
- Ensure related policies, inventory tracking and reporting systems including documentation are in place and all key staff are well-informed and adhere to related policies.
- Monitor inventory levels and coordinate replenishment as needed, document discrepancies, and report losses.
- Support in monitoring projects stock levels and advice on appropriate stocking and replenishment to meet project demands
- Enhance and oversee the inventory management system for AKF supplies, including refreshments and stationeries or any other materials, and ensure seamless coordination with the procurement unit, warehouse and assets management team.
- Implement best practices for warehouse organization and layout.
- Maintain adherence to AKF occupational health and safety standards at warehouses.
- Ensure appropriate storage conditions of materials.
- Provide reports and analysis and assist in contingency planning and response actions.
Facilities Management:
- Manage leases and contracts for facilities, ensuring compliance with terms and conditions and all legal and regulatory requirements.
- Coordinate maintenance and repairs of facilities to ensure they are safe and functional.
- Contribute to developing contingency plans for facility emergencies or disruptions.
Insurance Management:
- Evaluate insurance needs for assets, warehouses, and facilities.
- Obtain competitive insurance quotes and negotiate terms with insurance providers.
- File insurance claims and manage the resolution process in case of incidents.
Team Management:
- Lead, supervise and train logistics team members to ensure high performance and productivity, and proactively ensure they understand and utilize appropriate tools and services to design and implement quality support to the programmes and other support units and enhance harmony at the workplace.
- Assign tasks and responsibilities to team members based on their skills and expertise and create opportunities to develop their capacity-building.
- Conduct performance evaluations and provide feedback to team members.
- Maintain effective relationships with other operations team leaders to provide integrated services efficiently.
Financial Planning and Analysis:
- Prepare the related Annual Work Plan AWP and budge.
- Provide, monitor, analyze and track the unit's budget reports, forecasts, and variance analysis to monitor expenses, identify cost-saving opportunities, and support informed decision-making.
- Ensure timely and accurate reporting on key logistics metrics and key performance indicators to the Operations' Coordinator, Senior Management and stakeholders.

Qualifications
- The applicant must have a university degree in Economics, Business Administration, or any other related field.
- At least 3-5 years of experience in logistics management, preferably in an INGO.
- Knowledge of donor regulations and compliance requirements for logistics operations.
- Strong analytical and problem-solving skills.
- Excellent organizational and time management abilities.
- Effective communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Excellent written and oral skills in English and Arabic languages.
- Proficiency in Excel, logistics software and systems (e.g., ERP systems, inventory management tools).
- Male applicant should have finished their military service, exempted, or postponed for one year at least.
