Responsibilities
• Administrative Support: Provide high-level administrative support to executives by managing schedules, handling correspondence, and organizing meetings.
• Calendar Management: Coordinate and manage daily, weekly, and monthly calendars to ensure executives' time is effectively utilized.
• Communication Management: Serve as the primary point of contact for internal and external communication on behalf of executives.
• Document Preparation: Prepare reports, presentations, and other documents required for meetings, conferences, and business correspondence.
• Meeting Coordination: Schedule, organize, and attend meetings; take meeting minutes and ensure follow-up on action items.
• File Management: Maintain and organize office files, documents, and records for easy access and retrieval.
• Confidentiality: Handle confidential information with the highest level of discretion and integrity.
• Office Supply Management: Oversee and maintain office supplies and equipment; ensure everything is in proper working condition.
• Project Assistance: Assist in managing special projects, including research, scheduling, and task delegation.

Qualifications
• Education: Bachelor's degree in Business Administration, Secretarial Studies, or a related field.
• Experience: At least 3-5 years of experience in an executive assistant or similar administrative role.
• Proficiency in Office Software: Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
• Communication Skills: Excellent written and verbal communication skills in English; proficiency in other languages is a plus.
• Organizational Skills: Strong time-management and organizational skills; ability to prioritize tasks and handle multiple projects simultaneously.
• Discretion & Confidentiality: High level of professionalism and ability to maintain confidentiality.
• Problem-Solving Skills: Ability to anticipate needs and take proactive measures to resolve challenges.
• Attention to Detail: Meticulous attention to detail in all tasks, especially when preparing reports or scheduling.
• Interpersonal Skills: Strong interpersonal skills with a customer-focused approach; ability to work well with executives, colleagues, and clients.
• Adaptability: Ability to work in a fast-paced environment and adapt to changing priorities.
