Responsibilities
1. Procurement
• Assist in identifying suitable and reliable suppliers, vendors, and service providers.
• Support the procurement of goods and services, ensuring compliance with legal procedures and organizational guidelines.
• Support in maintain and update a list of preferred suppliers and assist in preparing contracts and purchase orders.
• Support the procurement Officer in market analysis to keep procurement data up to date.
• Assist in creating, processing, and tracking Purchase Orders (POs) in our system.
2. Documentation and Archiving
• Support in ensure the proper and timely archiving of procurement and logistics-related documents, ensuring all files are well-documented and organized (ledgers, requisition orders, stock cards, inventory reports).
• Support in maintain accurate records of procurement and supply chain activities for audit and reporting purposes.
3. Fleet and Transportation
• Assist in the management of the organization’s fleet, including vehicle maintenance, logbooks, and first-aid kits.
• Assist in coordinate staff transportation within the base and other locations as needed, ensuring all safety protocols are followed.
• Support in ensure security protocols for vehicle movements and staff safety are adhered to.
4. Asset and Inventory
• Support the Logistics Officer in maintaining accurate asset records, including coding, labeling, and tracking assets across the office and project sites.
• Assist in regular physical inventory checks and ensure proper documentation and reporting of asset usage.
• Support in ensure the correct implementation of asset handovers, transfers, and returns.
5. Premises and Maintenance
• Assist in maintaining office facilities, guest houses, and staff accommodations, including utilities, repairs, and safety compliance.
• Support in coordinate with service providers for maintenance and ensure the timely completion of all required repairs.
6. Coordination and Communication
• Support in handling correspondence with relevant authorities and stakeholders, such as SARC, for official communications, permits, and approvals.
• Support in liaise with internal departments such as finance and HR to ensure smooth logistics and procurement processes.
7. General Support
• Carry out any other task that may be assigned by the Line Manager, including supporting audit preparations and external evaluations.
• Ensure compliance with WW-GVC logistics guidelines and standards at all times.
• Perform any other tasks assigned by the supervisor as required and related to the nature of work.

Qualifications
• Education: Recently graduated with a degree in, Business Administration, Engineering or a related field.
• Technical Skills: Strong proficiency in Microsoft Word and Excel.
• Communication: Excellent verbal and written communication skills for interacting with internal teams and external vendors.
• Organization: High attention to detail and the ability to manage multiple tasks simultaneously.
• Language: Fluent in Arabic, good in English
