Responsibilities
This position oversees the full cycle of business development and grant management, including coordinating proposal development, ensuring alignment between narratives, budgets, and logframes, and maintaining quality and donor compliance. The role supports project implementation through reporting coordination, deadline tracking, and the application of SOPs and tools. Working closely with the Country Director and relevant regional teams, the position contributes to fundraising, donor engagement, and donor intelligence. It also leads partnership and sub grant management, ensures award and contractual compliance, and oversees communication and visibility activities in line with donor and organizational requirements.

Proposal Development
-Lead and coordinate the proposal development process, ensuring timely and quality inputs from technical, operations, finance, and support teams.
-Develop and manage proposal workplans, including timelines, responsibilities, outputs, and task tracking.
-Coordinate proposal development meetings and follow up on action points to meet submission deadlines.
-Compile, format, review, and finalize proposals and annexes in line with donor guidelines and internal quality standards.
-Ensure coherence between narratives, budgets, and logframes, and full compliance with donor requirements and templates.

Project Cycle Management & Quality Control
-Support project kick-off, review, and close out meetings, ensuring donor and partner requirements are clearly understood.
-Maintain and share donor reporting deadlines and develop retro-planning schedules as needed.
-Review donor reports prior to submission, ensuring accuracy, quality, and compliance with donor requirements.
-Coordinate reporting processes across programme, operations, finance, and MEAL teams.
-Develop and roll out SOPs and tools to enhance project cycle management and quality.

Fundraising & Donor Intelligence
-Support the Country Director in developing and implementing the country fundraising strategy.
-Prepare donor mapping and analysis in coordination with the Regional Business Development Advisor.
-Support preparation of briefing notes and materials for donor engagements.
-Support donor engagement activities, maintain donor trackers, and liaise with regional and global funding teams.

Partnership Management
-Support partner mapping in line with delegation strategy and localization objectives.
-Lead and coordinate sub granting processes, including due diligence, contracting, and partner reporting follow-up.
-Coordinate capacity sharing plans with partners.
-Act as the focal point for partners on contractual matters.

Award Management & Compliance
-Serve as the primary focal point for donor contracts and award-related matters.
-Extract, disseminate, and ensure compliance with donor contractual requirements throughout the award lifecycle.

Communication & Visibility
-In coordination with the Country Director, develop and implement the annual communication plan.
-Oversee the production and dissemination of communication and visibility materials, including reports, campaigns, and digital content.
-Review and validate all visibility materials to ensure compliance with donor and organizational standards.
-Ensure donor visibility requirements are integrated into project design and budgets, and manage visibility derogation requests when needed.

Qualifications
-Bachelor’s degree in Development Studies, International Affairs, Social Sciences, or a related field (Master’s degree is an asset).
-Minimum 7 years of experience in business development, proposal coordination, donor relations, or project support within an NGO environment.
-Minimum 3 years of experience in a senior role.
-Strong experience working with institutional donors (e.g. EU, SDC, SIDA).
-Full fluency in written and spoken English.
-Proficiency in MS Office applications and digital archiving systems.
