Responsibilities
Job Purpose
The Corporate Receptionist is responsible for the end-to-end management of the front-office environment, corporate switchboard, and visitor experience.
This role ensures that all front-desk operations achieve rigid corporate brand compliance, strict adherence to security access protocols, efficient calendar schedules, and high visitor satisfaction while proactively mitigating office administrative and operational risks.
Key Job Responsibilities
1. Front-Office Planning & Execution Daily Desk Operations: Establish, maintain, and execute the daily front-desk operational checklist to align visitor arrivals, package deliveries, and meeting room bookings with corporate schedules.
Visitor & Schedule Management: Oversee the scheduling and optimization of corporate meeting rooms. Monitor calendar conflicts, manage high-priority guest arrivals, and arrange alternative meeting spaces when required.
2. Financial Tracking & Supply Control Petty Cash & Expense Control: Monitor and reconcile the front-office petty cash fund, track administrative expenses, and maintain precise financial receipts.
Commercial Support: Verify monthly corporate invoices from vendors (e.g., courier services, office supply providers, catering) in coordination with the finance department to prevent payment delays.
Office Supply Governance: Inventory, track, and reorder front-office stationery, pantry supplies, and corporate marketing materials to eliminate supply shortages.
3. Logistical Optimization & Mail Flow Inbound /Outbound Logistics: Formulate and manage the internal workflow for sorting, logging, and distributing incoming mail, corporate packages, and sensitive legal documentation.
Dispatch Schedules: Organize cost-efficient courier dispatches and urgent document deliveries to reduce company delivery overhead and ensure time-critical items arrive safely.
4. Vendor & Cross-Departmental Management Service Provider Oversight: Coordinate and schedule maintenance visits for front-lobby assets (e.g., access gates, telephone switchboards, printer stations) with third-party vendors.
Internal Synergy: Drive seamless coordination with vital supporting departments including HR (for job applicant arrivals), Procurement (for office supplies), IT (for visitor Wi-Fi/hardware setup), and Security.
5. Corporate Stakeholder & Visitor Relations Client & VIP Hospitality: Act as the primary face of the company. Welcome clients, high-profile executives, and business partners with elite corporate etiquette.
Access Control & Badges: Manage the company's visitor registration system. Issue guest access cards and coordinate with security personnel to verify identification and clear external visitors.
6. Information Architecture & Reporting Communication Standards: Direct the main corporate switchboard, screening, routing, and transferring high-volume phone calls and email inquiries with standard corporate protocols.
Administrative Reporting: Compile and analyze weekly front-desk activity logs (visitor traffic, courier expenses, call metrics) to identify areas for administrative process improvement.
Shift Handover: Conduct formal information handovers to ensure seamless operational continuity when step-in or backup reception coverage is active.
Health, Safety, Environment (HSE) & Quality Control Policy Enforcement:
Guarantee the strict execution of front-office Quality Control (e.g., accurate phone logs) and company safety guidelines.
Emergency & Assembly Management: Serve as a core warden during building evacuations, ensuring the front lobby is cleared quickly and acting as a guide for visitors during fire drills or medical emergencies.
Professional Standards: Champion corporate office culture by maintaining an immaculate, distraction-free front reception desk and adhering to the executive corporate dress code.
