Responsibilities
1. Document Management & Control
• Establish, maintain, and continuously improve the Technical Document Management System (TDMS) in accordance with project and organizational requirements.
• Receive, register, and process all incoming and outgoing technical documents including drawings, specifications, submittals, RFIs, and correspondence.
• Assign document numbers, revision codes, and metadata in line with the approved document numbering convention.
• Ensure all documents are correctly filed, indexed, and retrievable in both electronic and hard-copy formats as required.
• Distribute controlled copies of approved documents to relevant internal departments and external parties in a timely manner.
2. Revision Control & Version Management
• Implement and enforce version control procedures to ensure only the latest approved revisions are in use across all project teams.
• Track and manage document revision history, superseded documents, and obsolete drawings to prevent use of outdated information.
• Maintain a comprehensive Document Register and Transmittal Log updated in real time.
• Coordinate with the Technical Manager and engineering teams to manage submittal cycles and approval workflows.
3. Compliance & Quality Assurance
• Ensure document control procedures comply with applicable standards, contractual requirements, and UCK Airport LLC internal policies.
• Conduct periodic audits of document files to verify accuracy, completeness, and compliance with established procedures.
• Support internal and external audits by preparing and providing requested documentation in an organized and timely manner.
• Flag document control non-conformances promptly and propose corrective actions for the Technical Manager’s review.
4. Stakeholder Coordination & Reporting
• Liaise with project managers, engineers, contractors, and consultants to facilitate smooth document exchange and approval tracking.
• Prepare and submit weekly and monthly document status reports to the Technical Manager, highlighting outstanding submissions, overdue approvals, and close-out items.
• Coordinate the preparation of project close-out documentation packages, as-built drawings, and final record submissions.
• Train and guide project team members on document control procedures and system usage.
5. Additional Responsibilities
• Support the Technical Manager in preparing technical correspondence, meeting minutes, and action trackers.
• Maintain confidentiality of sensitive technical and commercial documentation.
• Support the Technical Manager with any document-related tasks that arise outside routine workflows, adapting to project demands as required.

Qualifications
• Bachelor’s degree in Engineering, Information Management, Business Administration, or a related discipline. A certification in Document Control, Records Management, or Quality Management (e.g., ISO 9001) is an advantage.
• Minimum 4–6 years of experience in document control, technical records management, or project administration within engineering, construction, or airport/infrastructure sectors.
• Proven knowledge of document control principles, procedures, and best practices in an engineering or construction environment.
• Proficiency in Electronic Document Management Systems (EDMS) such as Aconex, Procore, SharePoint, or equivalent platforms.
• Strong understanding of engineering drawing formats, revision control conventions, and submittal management processes.
• High attention to detail with excellent organizational and time management skills.
• Good communication skills in English; Arabic is an advantage.
• Proficiency in MS Office (Word, Excel, Outlook) and document management tools.
