Responsibilities
Main tasks & Responsibilities:

• Support procurement processes from requisition to delivery and payment.
• Collect quotations, conduct market assessments, and identify new suppliers.
• Track procurement requests, purchase orders, deliveries, and supplier payments.
• Ensure procurement documentation is complete, accurate, properly filed in ERP and SharePoint and compliant with organizational policies and donor requirements.
• Assist in tender processes and preparation of procurement documentation (PRs, RFQs, QAMs, bid evaluations, contracts, agreements, etc.).
• Verify completeness and accuracy of supporting documents before submitting for payment processing.
• Maintain and update the supplier database in ERP and conduct supplier evaluations.
• Monitor local market prices and update price lists when required.
• Inspect goods and services received to ensure conformity with specifications, quantity, and quality requirements.
• Inspect and observe reception of goods against purchase orders and Goods Received Notes (GRNs).
• Support with periodic physical inventory and/or asset verification exercises and physical counts and reconcile inventory records as needed or requested.
• Support with vehicle and transportation planning and tracking, contract management and payment preparation as needed, including external transport providers.
• Support with facility (maintenance) management and facility and operational payments such as rent, utilities, telecommunications, internet services, and related operational expenses – dependent on possible future task re-division
• Support to maintain effective filing and archiving systems for logistics, procurement, and administrative documentation.
• Support preparation of reports, trackers, and logistics records.
• Perform any other logistics, procurement, administrative, or operational support tasks assigned by supervisor.


Qualifications
Knowledge & Experience:

• Associate (University) degree in Procurement, Supply Chain Management or Business Administration or other relevant area, or equivalent knowledge and competencies acquired through relevant work experience.
• Minimum working experience of at least 2 years in Logistics and/or Procurement support roles, preferable in an INGO, or 2-4 years’ experience in a similar role.
• Good spoken and written command of English.
• Excellent spoken and written command of Arabic.
• Computer literate with good working knowledge of Microsoft Excel, Word and Outlook.
• Experience using ERP systems
• Experience with donor requirements and compliance is a plus.

Specific Vacancy Requirements
The Logistics and Procurement Assistant is a full-time employee of ZOA Syria. Under the direct supervision of the Logistics and Procurement Officer, the incumbent of this position will provide logistical and procurement support for the ZOA Programme, helping to ensure the timely and cost-effective implementation of the programme.
