Responsibilities
The Odoo ERP Administrator is responsible for the day-to-day administration, configuration, maintenance, user support, data quality, and continuous improvement of SAMS’ organization-wide Enterprise Resource Planning (ERP) system.
The position ensures that the ERP operates effectively, securely, and consistently across relevant organizational functions, including Project Management, Finance, Human Resources, Procurement, Logistics and Warehouse Management, MEAL, Partnership, and Grants Management.
The ERP Administrator works closely with relevant departments, ERP focal points, the Regional Office, Syria Office, and external vendors and technical consultants to ensure that system configurations and workflows are aligned with SAMS policies, SOPs, authority matrices, operational requirements, and applicable donor requirements.
Key Responsibilities
1. ERP System Administration and Configuration
Administer and maintain the ERP system, including configurations, workflows, approval chains, forms, roles, permissions, and system parameters in line with SAMS policies, SOPs, and authority matrices.
Monitor system functionality and performance and coordinate updates, upgrades, bug fixes, and technical improvements.
Support the configuration, testing, deployment, and documentation of new modules, features, reports, integrations, and approved system changes.
Identify opportunities to improve and automate ERP workflows and business processes.
2. User Access and Technical Support
Manage ERP user accounts, roles, and permissions, ensuring appropriate role-based access, segregation of duties, and maintenance of the user access matrix.
Provide day-to-day user support and troubleshoot access, workflow, configuration, and functionality issues.
Maintain and follow up on system issues and technical tickets, escalating complex cases to the ERP vendor or technical specialists as required.
Analyze recurring issues and recommend system improvements or additional user support.
3. Training and Capacity Building
Deliver ERP onboarding, refresher, and module-specific training for users and departmental focal points.
Develop and maintain user guides, quick-reference materials, FAQs, and other ERP training resources.
Provide ongoing coaching and support to promote consistent and correct use of the ERP.
4. Data Management and Quality Assurance
Monitor ERP data for completeness, accuracy, consistency, and timeliness and coordinate corrective actions with responsible departments.
Conduct routine data quality checks and support resolution of data and reporting issues.
Support data migration, cleaning, mapping, validation, reconciliation, and verification during system upgrades and module rollouts.
Support implementation of appropriate data validation controls and periodically report significant data quality issues.
5. System Development and Vendor Coordination
Consolidate, document, and support prioritization of ERP enhancement and customization requirements from departments.
Translate approved business requirements into functional requirements and coordinate implementation with ERP vendors, developers, and technical consultants.
Coordinate User Acceptance Testing (UAT) and verify that system developments meet approved requirements before deployment.
Track customization and development requests from approval through testing, deployment, and closure.
6. Documentation, Security and Continuous Improvement
Maintain essential ERP documentation, including configuration records, change logs, access records, issue logs, and testing documentation.
Monitor ERP adoption and performance, prepare periodic management reports, and recommend system and process improvements.
Ensure ERP administration complies with SAMS Data Protection Protocol, information security requirements, and approved access controls.
Protect privileged access and confidential data and promptly report unauthorized access, data breaches, or other system security risks.
Key Working Relationships
The ERP Administrator reports directly to the Regional MEAL Manager and works closely with:
Regional Office and Syria Office management and teams.
Finance, HR, Procurement, Logistics/Warehouse, Program, MEAL, Partnership, and Grants teams.
Departmental ERP focal points and system users.
Information Management and IT personnel.
ERP vendor, developers, and external technical consultants.
Confidentiality and Data Protection
The ERP Administrator shall comply with the SAMS Data Protection Protocol, applicable information security requirements, and organizational policies and procedures. The position holder is responsible for maintaining the confidentiality, integrity, and secure handling of all organizational, employee, financial, programme, beneficiary, and other sensitive information accessed through the ERP system.
Access to ERP information shall be used strictly for authorized organizational purposes and in accordance with assigned responsibilities and approved access permissions.
Other Duties
The responsibilities listed in this Job Description are not exhaustive. The ERP Administrator may be assigned other ERP, information systems, data management, or related duties consistent with the purpose and level of the position, as required by SAMS operational needs.

Qualifications
Education
Bachelor’s degree in Information Technology, Computer Science, Information Systems, Informatics Engineering, Business Information Systems, or another relevant field.
Relevant ERP, database, systems administration, or project management certification is an advantage.
Experience
Minimum 1–2 years of relevant professional experience in ERP administration, information systems, business systems, or a related field.
Experience administering or supporting ERP systems, preferably Odoo, including user access, workflow configuration, troubleshooting, testing, and data management.
Experience supporting ERP implementation, customization, upgrades, or data migration and coordinating with vendors, developers, or technical consultants.
Experience providing technical support and training to both technical and non-technical users.
Previous experience with NGOs, humanitarian organizations, or international organizations is an advantage.
Technical Skills and Competencies
Strong understanding of ERP systems, integrated business workflows, and Odoo administration and configuration.
Good understanding of role-based access control, segregation of duties, and system authorization principles.
Strong skills in data management, validation, quality assurance, databases, and reporting.
Ability to analyze business processes, translate operational needs into system requirements, and conduct User Acceptance Testing (UAT).
Strong troubleshooting and problem-solving skills, with knowledge of SQL, APIs, system integrations, or basic programming considered an advantage.
Strong documentation and technical writing skills, including development of user guides, SOPs, and training materials.
