Responsibilities
4. Scope of Work and Key Responsibilities
4.1 Data Entry and Information Management
The Service Provider will:
• Enter, organise and update project-related data using approved project tools, templates and trackers.
• Maintain and update participant lists, activity records, databases and other project information as assigned.
• Prepare simple data summaries, tables and extracts required for project follow-up and reporting.
• Support organizing project means of verification and supporting project documentation.
4.2 Reporting and Documentation Support
• Compile information and supporting documents required for activity reports, periodic reports and project documentation.
• Prepare first drafts or sections of activity reports based on approved templates, meeting notes and information provided by the Project Manager or relevant project team members.
• Assist with proofreading, formatting and language review of project documents.
• Maintain an organized record of completed and pending project documentation.
4.3 Translation Support
• Provide written translation of routine project materials between Arabic and English.
• Translate meeting notes, activity reports, presentations, correspondence and other project-related documents as assigned.
• Support language review of project materials to ensure clarity, consistency and appropriate terminology.
4.4 Administrative and Internal Coordination Support
• Maintain internal task and action-point trackers as requested by the Project Manager.
• Support scheduling and preparation of project meetings.
• Follow up internally with relevant FCA team members on assigned documentation or administrative actions, under the direction of the Project Manager.
• Support preparation and organization of project materials and documentation before and after activities.
• Maintain organized project files.
4.5 Support to Project Activities
• Provide administrative and documentation support during workshops, consultations, trainings and other project activities when requested.
• Support participant registration, attendance documentation and organization of activity files.
• Assist with collection and organization of completed activity documentation.
• Compile meeting and workshop notes and prepare initial documentation for review.
• Support organization of participant feedback, evaluation forms and other activity-related records.
• Ensure activity documentation is properly filed following completion of each activity.
The role does not replace or assume the responsibilities of the Workshop Coordinator. Operational organization and coordination of workshops will remain with the designated responsible staff and FCA support functions.
4.6 Project Filing and Archiving
• Maintain a clear and systematic electronic project filing structure.
• Organize project documentation using agreed naming and filing conventions.
• Regularly review project folders and flag missing or incomplete documentation to the Project Manager.
• Assist in preparing a complete and organized project archive at the end of the assignment.
• Ensure confidential and personal information is handled in accordance with FCA requirements.
6. Expected Outputs
The Service Provider is expected to contribute to the following outputs throughout the assignment:
1. Project data and activity trackers regularly updated as assigned.
2. Participant lists, activity records and relevant databases maintained accurately.
3. Meeting minutes and action-point records prepared in a timely manner.
4. Initial drafts and inputs for activity and project reports prepared according to agreed templates.
5. Arabic-English and English-Arabic translations completed as requested.
6. Activity documentation and means of verification systematically organised and filed.
7. Administrative documentation for workshops, trainings, consultations and meetings prepared in advance in coordination with project team.
8. Complete and structured handover of project documentation at the end of the assignment.
All outputs will be subject to review and approval by the Project Manager.

Qualifications
Education
• University degree in Social Sciences, Development Studies, Gender Studies, English Language,or another relevant field.
Professional Experience
• At least 1–2 years of relevant professional experience in project, programme, administrative, reporting or documentation support, preferably within humanitarian, development or civil society organizations.
• Demonstrated experience in report writing, documentation, data entry or information management.
• Experience supporting workshops, trainings, consultations, meetings or similar activities is preferable.
• Previous exposure to gender equality, women’s empowerment, women’s rights, protection or related programming is strongly preferred.
8. Language and Technical Skills
• Excellent written and spoken Arabic.
• Excellent written and spoken English, including the ability to draft, review and translate routine professional documentation.
• Good command of Microsoft Word, Excel, PowerPoint and Outlook.

Salary and Benefits
As per FCA salary scale
Contract will be Service contract - Daily Basis for 2 months renewable according to the budget availability and performance.
